Willis said an effective accounts receivable operation:

Probes a new customer's credit history -- D&B reports and vendor references can be invaluable -- before taking them on as a client. Employs a good general ledger system with an AR component that tracks outstanding invoices by date. Monitors aging invoices and routinely contacts customers at specific points in the billing cycle to ensure payment.

"I find a lot of companies don't look at their aging invoices on a weekly basis, which would give them an idea of who their slow-paying customers are," Willis said.

Ultimately, "a good selection process is the best assurance of having limited or no losses in accounts receivable," he said.
