"A simple activity that can be completed in one day includes reviewing and updating the disaster plan for your organization, holding a practice evacuation drill for your staff, and surveying the storage area to check for hazards such as leaking roofs or windows," said Chelle Somsen, state archivist for the South Dakota State Historical Society.
The day is meant to be a call to action so an organization can complete a preparedness activity without it becoming overwhelming, she said.
"This year, State Archives staff will update our wallet-sized emergency contact listing and check the level of emergency supplies that we have on hand," Somsen said.

"With the grant money the SHRAB will be able to disseminate $3,000 in funds to local repositories, organizations and historical societies, in order to encourage and support identification and preservation of historical records and provide training for the staff that care for those records," said Chelle Somsen, SHRAB chair and state archivist with the South Dakota State Historical Society at the Cultural Heritage Center in Pierre.

"It's easy to postpone working on a disaster plan when we're so engrossed in our daily activities, but if we dedicate time on May 1st to do a few actions that may make a difference if an emergency does happen," said Chelle Somsen, State Archivist for the South Dakota State Historical Society at the Cultural Heritage Center in Pierre. "Updating the contact list, asking staff review to the disaster plan, checking to make sure the fire extinguishers and smoke detectors are working, and making sure all the collections are off the floor and not blocking exits are a few ideas of actions that can take place on May Day."
This year the State Historical Society-Archives staff will update their pocket response plans and perform an inventory of disaster supplies on May Day. All State Historical Society staff will also partake in fire extinguisher training.
"These are actions that we can take without the whole process becoming overwhelming," Somsen said.

"If a cultural heritage organization took some time during that day to prepare, it could have a dramatic impact on that organization's ability to respond to a disaster," said Chelle Somsen, archives director for the South Dakota State Historical Society at the Cultural Heritage Center.
Some ideas that could be accomplished on May 1 by cultural institutions include: evaluating their disaster plan and making sure it is up to date; starting a disaster plan if one doesn't exist; conducting a disaster drill and evaluating the results; taking an inventory of the emergency supplies and restocking if necessary; doing a survey of the building for risks, including testing the fire extinguishers; and reviewing emergency procedures with the staff.
"Large scale disasters, such as hurricane Katrina, that have destroyed cultural institutions, reminded the archival community of the importance of disaster planning," Somsen said.
